Attendance Policy

NYIE will accurately report to the NYS Education Department the number of class hours attended. If insufficient, the state will not permit the applicant to take the State Licensing Examination.

Class attendance is an important aspect of the student’s learning experience. The student is required to attend all classes. If the student is unable to attend a class, or classes, due to unforeseen circumstances, the following policies apply:

§ Being late to class constitutes tardiness; three tardy reports will result in one absence, the equivalent of 4.5 hours of missing class time, which must be made up.

§ Students with more than 13.5 hours of outstanding missing time will be placed on academic probation until all time is made up. Students failing to make up time while on probation are subject to termination.

§ Any student missing more than 15% of any course will be given an "F" for the course.

§ All missing class time, midterms, and final exams must be made up prior to the end of the quarter.

Any student absent for more then five (5) days without notification or medical excuse will be automatically dismissed from the program. Absences will be calculated from the student’s last date of attendance.

Class Makeup Policy

All missing class time must be made up within fifteen (15) days, or before the end of the current quarter, whichever comes first.

Any student with more than 36 hours of absence must make up the class by attending another class of the same subject.

If the student has missed less then 36 hours of class time, Lecture classes may be made up in the computer lab for the amount of lecture time missed (4.5 hours for the whole class). For hands on time missed, a clinic session in the Student Clinic will have to be made-up for each hour of missed time (missed time will be rounded up to the nearest hour). All time must be made up with 15 days of the class missed. Any student not completing make up time, midterms or final exams before the end of the quarter in which the absence(s) occurred will be given an F for the course(s).

Class Cancellations

Make-up for snow days and other cancellations are scheduled during quarter breaks and may result in calendar changes, including test dates and quarter start/end dates. The student is responsible for knowing the school policy on make-up time for snow day absenteeism.

Grading Scale Criteria

Grades support the student’s learning experience by providing precise meaningful feedback that clearly informs the student of his/her academic progress.

Grading consists of class participation, written and practical assignments, exams, hands-on techniques, homework, special projects, attendance in all classes, timely completion of all classes and clinic sessions. To graduate, the student must successfully complete all required courses and clinics.

The School’s Education Department maintains student grades. The student may review grades via the computer. If desired, the student may make an appointment with the School’s Education Department to review grades.

Letter grades are based on the following numerical grading system.

A 90-100 4.0
B 80-89 3.0
C 70-79 2.0
D 60-69 1.0
F 59 or less 0.0
I  Incomplete

Science grades are determined based on quiz averages, the midterm, and final exam. A comprehensive written final exam is given in all major courses. Esthetics courses, including Clinic, will be graded based on the 100-point scale. Esthetics courses will have quiz grades, midterm exam grade, final exam grade and practical exam grades figured into the final course grade. Clinic will have grades for each appointment, reflective of the clinic objectives.

Incomplete grades - The student must complete all requirements by the beginning of the next quarter or the final grade will be an "F".

A missed quiz will result in a grade of zero and cannot be made up. Midterm and final exams will be taken during class on the scheduled day of the exam. Missing a midterm or final will result in having to schedule a make-up exam for midterms and/or finals. The student must give at least 4 weeks notice of exam conflict, in addition to paying a $50 fee.

Remedial Coursework

NYIE does not offer remedial coursework.

Progress Reports

Grade reports, recorded as a percentage grade, are available for viewing and printing in the computer lab.

Determination of Satisfactory Progress

Satisfactory progress must be maintained in order for the student to remain enrolled at NYIE. To maintain satisfactory academic progress, the student is required to:

§ Maintain a quarter and cumulative course average of 2.0 (minimum 70% or grade of C).

§ Receive no more than one "D" or "F" grade in any quarter and no more than two "D" or "F" grades throughout the entire program, not including Introduction to Esthetics or Anatomy & Physiology.

§ Complete the entire program within 1.5 times than a normal duration of the program, as listed under Program Options on page 3.

If the student repeats a course, the higher final grade will be used in the final Core Point Average (C.P.A.). In the event the student fails to maintain satisfactory progress, NYIE will review the student’s academic record to determine if the student is capable of benefiting from continued enrollment. Students must receive a final grade of 70% or higher in order to earn credit for the course. Failure to meet the minimum passing grade requirements will result in an "F" grade for the course. The student must apply to take the course at its next offering and retake the course at an additional cost and meet or exceed the minimum-passing grade.

Academic Probation

If the student’s course or cumulative average is below 70% at 5 weeks, the student will be notified in writing and placed on Academic Probation for the remainder of the quarter. The student will be required to meet with the Education Director to discuss possible problems and solutions and the consequences of continued failing grades.

Students who finish a course with less than 70% will remain on Academic Probation throughout the next quarter. Students will be taken off Academic probation upon successful completion of the course in which they had a failing average (final grade of 70% or higher), or upon completion of the following quarter without a failing grade.

Students placed on Academic Probation are notified as follows:

§ The student receives a notice from the School’s Education Department stating that he/she is on probation and how the student can receive assistance.

§ The notice is signed and dated by the student and the School’s Education Department.

§ Copies of the notice go to the student, the instructor, and the student’s academic file.

Conditions for Dismissal

The student may be dismissed or terminated for the following:

§ Behaving in a manner that may harm one’s self, or another, or the reputation of the school.
§

§
Chronic abuse of Policies & Procedures.
§

Each student is provided a copy of the procedures and current report during their orientation, prior to attendance. Any potential applicant for employment or enrollment can request, in writing, a copy of the report from the Financial Aid Administration.

NYIE utilizes a video surveillance system. This system is in place for the protection of our students and employees. It is designed to prevent and/or document any theft or potential untoward or unprofessional behavior. Leave of Absence

Graduation Requirements

To be eligible for graduation, the student must meet the following criteria:

Upon graduating, the student will receive a diploma in Esthetics and be eligible to sit for the NYS Licensing Exam. (NYS requires candidate be at least 17 years of age.) Once a license has been granted, it is valid for life in NYS, with renewal due every two years.

Student Records/Transcripts

Student records are confidential and accessible only to the individual student, Administration, Faculty or School’s Education Department officials. Any student desiring to review his or her file must notify the school in writing. The student will receive a copy of their unofficial transcript upon completion of the program. Students interested in obtaining official or additional copies of unofficial transcripts should contact the School’s Education Department to obtain a Request for Transcript form (cost is $5.00 each). Official transcripts can only be mailed to another institution and unofficial transcripts will be mailed directly to the student. NYIE reserves the right to withhold an official transcript if the student’s financial obligation to the school is not met.

Licensing

NYIE’s training is recognized by the New York State Education Department. To be eligible to sit for the licensing exam, the candidate must pay fees as determined by the licensing authority. New York law requires a license to practice esthetics. The State Board Exam is typically offered monthly, based on geography. Any student practicing esthetics for profit before graduation from NYIE training and/or without being licensed is subject to immediate termination from the program and will be reported to the New York State Office of Professional Misconduct.

Licensees must have a physical prior to applying for their license. A doctor or nurse practitioner must complete the Heath Certification section of the application and it must be submitted within thirty (30) days of obtaining the signatures. Applicants also are required to have the school director complete the Affirmation of New York State Approved Schooling section of the application before it is submitted.

Business/Area Renter Licensing

Obtaining a license to practice esthetics does not allow the licensee to operate a business; a business license must be applied for. A business license is required if you are a business owner, sole proprietor, partner or shareholder intending to offer esthetics treatments.

An Area Renter License is required if you are planning to work for a business where you are not employed by the owner of said business. Area Renter License does not allow you to practice esthetics, you will need to have both (esthetics and area renter) licenses.

Temporary Licensing

Graduates who wish to practice before taking the State Board Exam must have passed the written portion of the exam. New York State will offer a six-month temporary license if the practical portion of the test is has not been administered or failed on the first attempt.

Employment Information

NYIE provides job placement assistance for graduates. NYIE does not, however, guarantee employment. Many salons, medical spas, and day spas are interested in having Licensed Estheticians working with them. Job Placement is designed to guide and link graduates in good standing with prospective employers and job openings. To remain in the Job Placement Program, graduates accept responsibility to communicate and comply with Policies and Procedures of the Job Placement Program. Graduates can be terminated from the program for failure to comply with Policies and Procedures. Examples include failure to go to interviews, excessive terminations from employment, failure to communicate and/or submit all necessary documentation or unprofessional conduct as a Licensed Esthetician.

This information is available from the Administration to all prospective students before they enter into any financial obligation to the school. This information is also posted in the school’s main corridor.
